Personal data collected on the NICIS congress website is used to manage registrations, payments, supporting documents, administrative communications and, where applicable, the issuance of registration receipts.

Data controller

The data controller is GENER (GROUPE D'EXPLORATIONS NEUROLOGIQUES EN REANIMATION), organizer of the NICIS congress.

Operational management

Hatha Communication acts for the operational management of registrations and payments, as agent of GENER, in the name and on behalf of the association.

Data collected

Mandatory data: last name, first name, email address, country, institution or organization, fee category, payment method, payment status, and supporting document for reduced fees where applicable.

Optional data: billing address, billing entity name, VAT number where necessary, and administrative notes useful for processing the registration.

Data to avoid unless genuinely necessary: date of birth, mobile phone number, health data, or information not directly useful for registration.

If accessibility information or specific needs are collected, only the data strictly necessary for the practical organization of the event should be requested.

• management of registrations for the NICIS congress
• management of payments by bank transfer or PayPlug
• management of supporting documents where applicable
• sending confirmations and registration-related information

Retention period

Registration data is kept in the active database for up to 12 months after the end of the congress in order to handle administration, possible adjustments, issuance of receipts, and ordinary complaints.

Data strictly necessary for accounting, payments and supporting documents is then archived for the duration of the applicable legal obligations, in particular accounting and tax obligations.

Accounting records and payment supporting documents are retained for 10 years.

In the event of a pre-dispute or dispute, the data necessary to defend the rights of the parties may be retained until expiry of the applicable limitation periods.
